We have an exciting opportunity for someone who is enthusiastic about administration and
operations assistance within a startup work environment. This “Administrative Assistant” role is critical to the
growth of our company and includes liaising with everyone from our executives to the operations team to our
institutional clients to ensure that our clients and drivers get the best quality and timely services possible.

About the Role

The primary responsibility of this role is to work with management on organization and
data-driven tasks. We are a California-based startup looking for a candidate who has excellent
organizational skills and thrives at analyzing and manipulating data in Excel. Someone who will take
ownership of various tasks and assignments and who is excited to take on multiple responsibilities. We are a
rapidly growing company, and we are looking for someone who will be able to jump right in, make an impact,
and grow alongside the company.

This position will be a hybrid role with 50% of time spent at the office and 50% of the
time spent at home (split can be discussed). Temporarily due to COVID most work will be remote except for
occasional needed in-office meetings.

Skills and Experience:

  • 5+ years’ experience in operations, account management, planning or customer service.
  • Requires strong executive administrative skills by collecting data, sorting, filing and sending
    out files to the right personnel as well as able to do time management, reporting and follow ups
    with team of other departments.
  • Data-driven, with meticulous attention to detail.
  • You can look at a large dataset and develop the best approach to organizing the information in
    useful ways.
  • Comfortable manipulating data in Excel
  • Able to communicate effectively and professionally with clients, contractors and coworkers via
    email, chat, text, phone, etc.
  • Have an absolute can-do attitude and a commitment to the success of your work.

Day to Day Responsibilities:

  • Help manage the office and all correspondence
  • Manage the corporate calendar and help keep staff on track with critical tasks
  • Coordinate internal meetings and ensure proper follow-up is taken on key corporate wide tasks.
  • Understand workflows and processes of each department
  • Help prepare and own KPI reports and review with appropriate staff
  • Ensure payroll is managed appropriately and completed on time by each division.
  • Make sure all corporate files on and offline are organized, secure, compliant and complete
  • Unique to the role will be a capability to understand Excel and reporting well. We are a data-driven company and will be depending on you to help generate, examine and extract relevant
    information from reports needed to monitor the business.
  • Overall, we need you to be the glue that keeps the business running smoothly!
